Social Workflow Rules | Yext Hitchhikers Platform
Social workflow rules allow you to assign relevant approvers to posts and comments. You can also specify certain criteria that a post or comment must meet in order for it to be assigned to a specific user or user group.
View and Manage Workflows
To view workflows that have already been set up in your account, navigate to Inbox > Workflow Management. This table shows all workflow rules. From here, you can turn workflow rules on and off by adjusting the toggle in the Active column.
Workflow rules are applied in order of priority, as they are listed in the table. If a review meets the criteria of multiple workflows, only the higher-priority workflow will be executed.
Creating Social Workflow Rules
To create a Social workflow rule, click the Create a Social Workflow button on the Workflow Management screen.
There are two types of workflows you can create: 1. Social Post Approval 2. Comment Approval
After you assign the type, the following information is required:
- Name. This is for personal use to help remind you what the rule is.
- Criteria. If a post of comment fulfills these requirements, then it will trigger this rule.
- You can filter by entity, entity label, entity folder, submitter, or 8.
- Criteria is set using OR statements. For example if you specify Facebook or Instagram as a publisher then tasks that are made to either Facebook OR Instagram will trigger the workflow.
- For example, you can specify the criteria
Publisher = Facebook
, which will assign all posts submitted for Facebook to be assigned to a single user for approval.
- Workflow Task. This is where you will assign a user or user group to approve a social task.
- Approver. While any of the users within a group can take action on the task, only one of the users will need to approve or reject the task.
- Due Date. This will inform the publishing settings.
- For posts, the due date is the same as the scheduled post date.
- For comments, you can specify a date for when the approval is due.
- Settings > Publishing. You will determine if a comment or post should be published on the due date. You can choose to:
- Do not publish without approval
- Publish without approval if no action has been taken by due date
Triggering a Social Workflow Rule
Below, we will go through an example of a Social Workflow rule and what happens when it is triggered.
- Name: Facebook and Instagram Location Rule
- Type: Social Post Approval
- Criteria:
- Entity is any of Locations
- Publisher is any of Facebook, Instagram
- Approver: John Doe
- Due Date: Same as scheduled post date
- Settings:
- Publishing: Do not publish without approval
If any social posts are created and scheduled for location entities on either Facebook or Instagram, then this rule will be triggered. When the task is made, this rule will assign it to John Doe.
If John Doe does not approve the post approval task before the due date, then it will not be published. The post will appear as rejected in the calendar and will need to be created again if the original submitter wants to try to post it again.
