Reviews Best Practice

I have a question around Review Notifications. A brand wants to set-up notifications for franchisee’s who are typically responsible for one store. What is the best way to do this? Would it be to put the filter criteria into a user role? Or would this be done in the notification settings instead?

There is a user permission called “View Reviews for Location”; it’s common for Franchisees to only have this permission on the locations which they manage, so that they only see the relevant reviews in Yext.

With regard to notifications, the reviews which are included in the notification are determined by the permission of the user who creates the notification. For example, if the account owner creates a notification with no filter criteria and puts 3 franchisees as recipients (all of whom only have “View Reviews for Location” on one location), those franchisees will still be notified of all reviews, because the notification creator had access to all reviews.

Because of the behavior detailed above, I would recommend one of the following:

  • Franchisees are granted “View Reviews for Location” permission on only the relevant locations. Then, franchisees configure their own notifications, so that they’re only notified of the relevant reviews.
    OR
  • A user with access to “View Reviews for Location” for all locations in the account should create separate notifications for each franchisee, with the proper filters configured. This seems less scalable to me, but it would be necessary if the customer only wanted one user to configure and manage all notifications.
